Motorise a conference room when it has several windows, a long glass wall or frequent presentations. Choose quiet motors, set up two or three scenes (meeting, presentation, video call), and agree the control method and wiring with your electrician and AV installer before the ceiling is closed.

Most conference rooms need three scenes. Meeting: screen-fabric blinds down on the sunny side, curtains open, full daylight. Presentation: blackout blinds or curtains closed on the screen wall, the rest dimmed. Video call: windows behind the participants shaded, others open for even light on faces.
Each scene can be a single button on a wall keypad or a page on the AV panel. Keep manual override switches for each group too, for the times someone only wants to shade one window.
The AV integrator and the shading installer need to agree early on the control protocol, where the control interfaces sit and who programs the scenes. Many motor systems accept dry-contact, serial or network commands that an AV system can send. Leaving this until handover often ends with two separate remotes on the table.
Wired motors are best for a conference room: they never need charging and can be controlled centrally. They need power at each head rail, planned before false ceilings and wall cladding are closed. Ask for quiet-running motors and soft-start/soft-stop, which reduce noise and wear.
Battery motors are an option for retrofitting a room that is already finished, though they need charging and are less suited to integration with an AV system.
Label the keypad buttons in plain words — Meeting, Present, Video, Open — and place it by the door and near the presenter's position. Visitors should be able to use the room without a briefing.
Many Goan hotels have meeting rooms that open into one larger space with a movable partition. Group the motors so each section can be controlled on its own when the partition is closed, and all together when it is open. Label the groups on the keypad by section, not by window number, so banqueting staff can reset the room between bookings without a call to maintenance.
In Goa
Power interruptions in Goa are more frequent in the monsoon. Put the shading on the same backup supply as the AV equipment, so a cut does not leave the room bright with a dark screen, or dark with no way to open the blinds.
Keep motor connections and control units inside the ceiling void, away from the glass where condensation collects, and specify sealed components for rooms near the coast.

If it has one or two windows, manual blinds are usually enough. Motorisation pays off in larger rooms, glass walls and rooms used for frequent presentations.
